Information we receive

We receive the business contact details and message information you choose to submit through an inquiry form or email. Required form fields are limited to information needed to understand and respond to a business inquiry.

Customer account requests include a business email, company legal name, business contact details, registered address, and an optional company registration or VAT identifier. For approved accounts, administrator-assigned passwords are stored only as salted one-way hashes, and secure session records are used to enforce private shipment access. Approved customers may store shipment, device identification, REF, LOT, serial, expiration, quantity, origin, value, package, and shipping-document information. The portal must not be used for patient information, subject identifiers, medical records, or protected health information.

Hosting and security systems may process technical data such as IP address, browser information, timestamps, request identifiers, and security signals. Public forms must not be used for patient information, subject identifiers, medical records, or sensitive clinical-trial data.

How information is used

We use submitted information to review and respond to inquiries, assess potential projects or partnerships, protect the website from abuse, maintain service security, and keep necessary business records.

Portal data is used to review company access, prepare shipments to MEDEMBARK, generate Packing Lists and Proforma Invoices, preserve document versions, and maintain shipment and approval records.

MEDEMBARK does not use public-form submissions to make automated decisions about individuals and does not send an autoresponder by default.

Retention

Inquiry information is retained only as long as reasonably needed for the contact purpose, legitimate business records, security, legal obligations, or dispute management. Anti-spam controls may retain limited technical hashes and timestamps rather than full message content.

Customer account, shipment, and generated-document records may be retained for operational traceability, customs or commercial documentation, contractual obligations, legal requirements, and dispute management. Deletion requests may be limited where retention is legally or operationally required.

Security

MEDEMBARK uses reasonable technical and organisational safeguards appropriate to the public website. No internet transmission or storage system can be guaranteed completely secure.

Hosting and service providers

The website and customer portal may be hosted by third-party infrastructure and identity providers that process account, shipment, document, and technical information on MEDEMBARK’s behalf. Privacy-conscious security and email-delivery providers may process form data only to operate the requested service.

Your rights

Depending on applicable law, you may request access, correction, deletion, restriction, or other action concerning your personal information. MEDEMBARK may need to verify a request and may retain information where legally required.
